Policies & Procedures
General Information:
- Please be sure you have created a profile on Vagaro booking system and have signed liability and Policyprocedure form
- Wear comfortable clothing that’s easy to move in. Shoes are not needed during your session.
- We provide all equipment, mats, towels and water.
Scheduling:
- To schedule Privates and Semi Privates please contact Owner so we may set you up with the best instructor to fit your needs and schedule.
- To schedule classes you must register with our online scheduling system Vagaro
- Schedule and Teachers subject to change please check Vagaro system using app
Waitlists
- Waitlists are available for all classes that are scheduled as full. If you are first on the waitlist, you will be moved into class automatically and notified via email or text if it is still 24 hours or more before the class.
- If you are moved into a class and can no longer attend it is your responsibility to cancel without charge up to 12 hours before the class, after the 12hr window you will be charged as a late cancel.
- If you are on a waitlist and know you cannot attend, please remove yourself from the waitlist so the other waitlisted clients have a chance to attend.
- Please check your appointments in your profile to be sure you are signed up for the class. Our studio can only accommodate 6 attendees at a time. If you are not signed up you will not be able to attend .
Cancellation and Refund Policy
Services: All private, duet sessions, and class packages do not have an expiration date, but we advise you to use them within 12 months.
Duet Sessions: For duet sessions, if one client would like to have a session without their duet partner, they can proceed to have a private session at the current rate or the duet session can be cancelled, otherwise, they will be charged if the notice is less than 12 hours.
Classes: There must be at least two people attending in order for the class to take place. The instructor has the option to teach a 40-minute class for the two attendees or to cancel the class. Attendees will be notified at least 24 hours in advance. Classes will be cancelled if there is only 1 attendee which will be notified in advance.
PILATES SESSIONS CANCELLATION POLICY
Cancellation by the Customer:
- Customers must cancel their session with instructor or owner before 12hr or will be charged.
- If cancellation notice is not provided before 12hrs of service, the customer will be charged for their session or is up to the instructor’s discretion. We do understand emergencies please reach out to your instructor to reschedule.
Cancellation by Studio Kinetics LLC:
- Studio Kinetics LLC reserves the right to cancel or reschedule the service due to unforeseen circumstances or reasons beyond our control.
- In the event of cancellation by Studio Kinetics LLC, we will make reasonable efforts to provide advance notice to the customer and offer alternative arrangements.
GROUP CLASS CANCELLATIONS POLICY
Cancellation by Studio Kinetics:
In the event that a class needs to be cancelled by the Studio Kinetics LLC, we will make every effort to notify registered participants as soon as possible. We reserve the right to cancel a class due to unforeseen circumstances, such as low enrollment, instructor unavailability, or facility issues. In such cases, registered participants will be offered a full refund or the option to transfer to another class.
Cancellation by Participants:
Participants who wish to cancel their class MUST cancel in the Vagaro booking system on their appointment profile at least 12 hrs prior to the scheduled start time. Cancellations made within this time frame will be eligible for a full refund or the option to transfer to another class.
No-shows and Late Cancellations:
Participants who fail to attend a class without providing prior notice or cancel within 12 hours of the scheduled start time will not be eligible for a refund. You will be charged.
Payments
- Cash, check, credit card, Venmo or Zelle are accepted at the studio for all class and private instruction packages.
- Please make payment payable to Studio Kinetics
MISCELLANEOUS INFORMATION
Text and Email Communications: You will receive class/session reminders and marketing emails or texts. You acknowledge that these options are on your Vagaro profile and can be added or opted out.
Photo/Video/Social Media: You allow Studio Kinetics LLC to take photos and videos for social marketing while at Studio Kinetics. If you do not want this option, please inform your instructor or the owner.
